How to Find Out All Unread Mails

In Outlook 2000, after you receive new mail, the Folder List opens to show any folders in the hierarchy that have new, unread items. Other than that, Outlook does not provide much help in locating unread items.

One method would be to use Advanced Find to search all your folders. HINT: The More Choices tab has an option for finding unread messages. If you use Advanced Find in this manner often, you might want to use File | Save Search to store your search criteria for easy reuse.

Otherwise, a few third-party tools provide some assistance in locating unread items.

Outlook does not provide enough help in finding unread mails. In Outlook 2000, after you receive new mails, the Folder List opens to show folders which have new or unread mails. And that is all Outlook can help you. When using other email client softwares, usually it is a one-click action to do so.

Remove Duplicate Contacts Entries

From Outlook 2000, when you create an entry in Contacts folders, Outlook will search in Contacts for existing same entries. If there is any existing entries, Outlook asks whether you want to merge the entries, ignore the new entry or save it as a new entry.

If you are combining two contacts and some entries are identical, it takes much effort to merge the data on duplicate contacts. Fortunetely, there are some tools that can help us out.

As the name implies, it is a 1-click solution. All duplicate mails, contacts, calendar items, notes will be deleted. And it will merge contacts automatically. Undo feature makes everything safe. The trial version is free.

Create And Pick Up Meeting Requests

Some people have asked me the same question as following. They hope Outlook can help in some way.

I am a HR person and schedule several meetings. I want to invite a group of people to attend the meetings. But they can choose to attend some of the meetings. Is there a method in Outlook to invite people and update the calendars?

Outlook can almost resolve the question above. You can create meetings in the calendar, save as ICS files, send the ICS files as attatchment. People receive and choose the meetings they want to attend.
 
To create the meeting request:

1. Create the invitations and invite required attendees, resources or yourself.
2. Click Send. This step is important since you need a meeting request that was sent, so the responses can be tracked.
3. Open each item on your calendar select File, Save as.
4. Save each item as an ICS on the hard drive.
5. Create the email message and attach the ICS files.
6. When the recipients accept the meeting request, they’ll send a response and the meeting is added to their calendar.
7. The sender’s copy will update with the recipient’s name as an optional attendee.
8. To avoid confusion, use the meeting date in the subject so the recipient only has to open the meeting they plan to attend.

Contacts Tips For Outlook 2003

  • Quickly dial a phone number for a contact    Right-click the contact, and then on the shortcut menu, click Call Contact.
  • Add a new contact from an e-mail message   Open the message. In the From field, right-click the name you want to make into a contact. On the shortcut menu, click Add to Outlook Contacts.
  • Create a task related to a contact   Click the contact, click the Actions menu, and then click New Task for Contact.
